Management and Tenant Find Packages

Our experienced team at C J Management provides a professional service in residential lettings and property management. We are the current managing agents for over 75 properties in and around the Folkestone area.

At C J Management we believe that we can offer a high-level service that is sufficiently flexible to meet the needs of a broad spectrum of residential property developments.

We offer two management package services and a Tenant find only service. These are listed below:

Full ‘one stop’ management package:

For this service, we charge landlords a fee of 10% of rents collected. Details of this package are as follows.

We will:

  • Advertise and attempt to find suitable tenants. This will include marketing the property and arranging and carrying out viewings at the property with prospective tenants. A tenant find fee of £495.00 is payable if a suitable tenant is found for the property. Please note that landlords, for whom we already manage four or more properties, will pay a reduced tenant find fee of £295.00 if a suitable tenant is found for each of the properties.
  • Obtain and check tenants’ and guarantors’ references
  • Comply with the Right to Rent Act requirements
  • Provide Assured Shorthold Tenancy Agreements recommended by ARLA
  • Provide Energy Performance Certificates at cost (currently £55.00)
  • Provide annual Gas Safety Certificates (currently at a cost of £5.00)
  • Provide a detailed photographic inventory report when a tenant moves into the property
  • Collect rents
  • Provide the landlord with a monthly rent account table showing the tenant’s current balance
  • Provide the landlord with a monthly rent schedule showing a breakdown of the rent money received, the management fee deducted @ 10%, any maintenance charges deducted and the balance amount transferred to landlord
  • Provide the landlord with a monthly email showing the two attachments mentioned above – namely the ‘rent table’ and ‘rent schedule’ – for the landlord’s records, which is sufficient for most end of tax year accounts
  • Address all maintenance issues (we can use your own tradesmen at your discretion.)
  • Provide a check-out report when tenants vacate the property
  • Issue correct and verifiable invoices
  • Make payments to your mortgage company from our client account (if required)
  • Register deposits with the Deposit Protection Service and keep copies of the prescribed information signed by the tenant and us as the agent (this is a legal requirement)
  • Liaise with solicitors on your behalf
  • Liaise with local council regarding housing benefit payments
  • Email utility companies with meter readings on change of responsible party
  • Issue letters when necessary
  • Maintaining a client bank book for accounts purposes
  • Liaise with Debt Collection Agencies
  • We operate within a selective geographical area, enabling our property consultants to adopt pro-active policies in carrying out regular inspections of the communal areas.
  • Our many years in the sector have enabled us to build a local pool of proven specialist contractors, to whom we can turn at very reasonable cost should your property, require their services.
  • Carry out six monthly inspections at the property

Rent collection and accounts only service:

For this service, we charge landlords a fee of 5% of rents collected. Details of this service are as follows.

We will:

  • Advertise and attempt to find suitable tenants; this includes marketing the property and planning and attending viewings with prospective tenants. If a suitable tenant is found for the property, a tenant find fee in the amount of £495.00 is payable. Please note that landlords, for whom we already collect rents on five or more properties, will not be charged a tenant find fee for the fifth or subsequent properties.
  • Comply with the Right to Rent Act requirements
  • Collect rents
  • Register deposits with the Deposit Protection Service and keep copies of the prescribed information signed by the tenant and us as the agent (this is a legal requirement)
  • Provide the landlords with a monthly rent account table showing the tenant’s current balance
  • Provide the landlords with a monthly rent schedule showing a breakdown of the rent money received, the management fee deducted @ 5% and the balance amount transferred to landlord
  • Provide the landlord with a monthly email showing the two attachments mentioned above – namely the ‘rent table’ and ‘rent schedule’ – for the landlord’s records, which is sufficient for most end of tax year accounts
  • Carry out twelve monthly inspections at the property

Tenant find only service:

For this service, a tenant find fee of £495.00 is payable by landlords. Details of this service are as follows.

We will:

  • Advertise and attempt to find suitable tenants, including market the property and conduct viewings as necessary
  • Check tenants’ and guarantors’ references
  • Comply with the Right to Rent Act
  • If required, we can arrange for the issue at cost of an Energy Performance Certificate (EPC) for your property; this currently costs £50.00. The landlord is responsible for the provision of this legal document or for the payment for a new one. The Landlord is responsible for the provision of this legal document but the Agent can assist in arranging for an EPC certificate to be issued in respect of the property but cannot be held responsible for the lack of such a document.
  • If required, we can arrange for the provision of annual Gas Safety Certificates. The issue of a Gas Safety Certificate is included in our optional maintenance package, but currently costs £75.00 if that package is not taken. The Landlord is responsible for the provision of this legal document but the Agent can assist in arranging for the Gas Safety Check to be carried out and for the Gas Safety Certificate to be issued but cannot be held responsible for the lack of such a document.
  • Issue an Assured Shorthold Tenancy Agreement recommended by ARLA; copy documents to both the tenant and to the landlord
  • Provide an inventory to the tenant (and copy to the landlord) when a tenant moves into the property
  • Collect the deposit money from tenant(s)
  • Collect the first month’s rent in advance from tenant(s)
  • Register deposits with the Deposit Protection Service and keep copies of the prescribed information signed by the tenant and us as the agent (this is a legal requirement)
  • Issue an invoice for the tenant find fee
  • Email utility providers notifying them of change of occupancy

Please note: Landlords that hand over full property management to C J Management at the 10% rate of 5 or more properties will pay a reduced Tenant find fee rate of £295.00 per property.

Landlords are informed of charges and fees payable by them for our services – there are no hidden fees.
